Conversations Inbox
Archive and restore conversations
Move finished conversations out of your main inbox to keep it clean — without deleting anything. Bring them back anytime with one click.
What it is
Archive moves a conversation out of your main Inbox into a separate Archived tab. The conversation isn't deleted — history, messages, notes, and attachments all stay intact — it just doesn't clutter your daily view anymore.
Any archived conversation can be moved back to the Inbox at any time with a couple of clicks. So archiving is completely reversible.
When to archive
The job is done and the customer said "thanks, all good."
A lead ghosted after your last follow-up — archive to declutter, come back to it later if they surface.
A one-off question that's already answered and doesn't need any more back-and-forth.
Spam, junk, or misrouted messages you want out of sight but not permanently gone.
Archive vs. Delete
Archiving is not deleting. All conversation history stays searchable and can be restored in one click. Deleting (a separate action) is permanent and removes the conversation from the record. When in doubt, archive.
Archive a conversation
1. Open the conversation actions menu
Inside any conversation, click the three-dot menu at the top of the conversation to see the available actions.
2. Click Archive
Pick Archive from the menu. The conversation moves out of the main Inbox and into the Archived tab immediately.
Restore an archived conversation
3. Open the Archived tab
In the Inbox sidebar, click Archived. This shows every conversation you or your teammates have archived, with the newest at the top.
4. Open the archived conversation's menu
Find the conversation you want to restore. Click its three-dot menu — same menu you used to archive it.
5. Click Move to inbox
Pick Move to inbox. The conversation snaps back into your main Inbox as if it was never archived — with the full history intact.
Things to know
Situation | What happens |
The customer replies to an archived conversation | It automatically comes back into your main Inbox as a new unread message. You don't miss anything. |
A teammate archives a shared conversation | It's archived for everyone who had it in their Inbox. Any of you can restore it. |
You search for a customer | Archived conversations still show up in search — they're not hidden, just out of the way. |
You want to bulk archive | Select multiple conversations from the list view, then archive them all at once. |
You archived something by mistake | Open the Archived tab and restore it — takes 3 clicks and no data is lost. |
Tip
Aim for Inbox Zero at the end of every day. Archive anything that's handled or that you're not going to reply to today. Your morning starts with a clean slate — and you can always search or restore if you need to pick something back up.
