Manage client contacts

Add the people behind a business client, assign them to service addresses, and choose exactly who an estimate, invoice, or job is addressed to.

A business customer is rarely one person. There's an owner, an office manager, and often a different manager at every location. Contacts let you keep those people on the client, tie them to the right addresses, and pick which person a document or job goes to.

Completely optional

A client with no contacts works exactly as it did before. The contact pickers on estimates, invoices and jobs only appear once you add someone.

Add contacts to a client

1. Open the client

Go to Clients in the left sidebar and click the customer's name. Contacts live on the client's own page.

2. Open the Contacts tab

It sits right next to Addresses. The count shows how many people are on file.

3. Click Add Contact

Add the people your team actually deals with — the CEO, a store manager, whoever answers the phone at that location — so everyone knows who's who at this client.

4. Name the person and give them a title

The title is free text — CEO, Office Manager, Store Manager, whatever your team recognizes. Add their email and phone too.

Blank fields never break anything

If the person doesn't have their own email or phone, leave it empty. Joby keeps using the client's main details for them, so a document addressed to that contact still goes somewhere.

5. Assign them to locations

Under Works at locations, tick the service addresses this person covers. Tick Primary contact if they're the main person to reach.

One primary per client

Marking a new person as primary moves the flag off whoever had it before. A person can be assigned to as many locations as you need.

6. See everyone at a glance

Each contact gets a card with their title, details and location badges, and they appear in the left panel too.

Flip to the Addresses tab and each location card shows who works there — a dispatcher can see who runs the Warehouse without opening anything.

7. Address an estimate to the right person

Create an estimate for the client and a Contact picker appears under the company name. The client themselves is always the default, so nothing changes until you pick someone.

8. The contact becomes the recipient

Pick a person and their name, email and phone fill in as the recipient — while the document headline stays the company name. That's the point: the invoice is still addressed to the business, but it lands with the person who actually handles it.

The choice carries over

When the estimate becomes an invoice, the contact comes with it. Invoices have the same picker if you need to change it.

9. Jobs pick the right person automatically

Start a job at a location and the contact assigned to that address is selected for you. "On my way" texts, appointment reminders and what your field worker sees on the mobile app all point at the person actually on site. You can change the pick anytime.

10. Change people as staff changes

Use the ⋮ menu on any contact card to edit or remove someone.

Sent documents don't change

Estimates and invoices you already sent keep the details they were sent with. Removing a contact never rewrites an existing document.

Question

Answer

Do I have to add contacts?

No. Clients work exactly as before without them, and the pickers stay hidden until you add someone.

Can one person cover several locations?

Yes. Tick as many addresses as apply under Works at locations.

What if a contact has no email or phone?

Joby falls back to the client's main details, so nothing is ever left blank on a document.

Does the company name disappear from the invoice?

No. The headline stays the business. Only the recipient details switch to the contact.

How many primary contacts can a client have?

One. Setting a new primary clears the previous one.

What happens to jobs at a location with no contact?

The client is used, same as before contacts existed.

Does removing someone affect past work?

No. Documents already sent keep the details they were sent with.
