Tasks and follow-ups

Create tasks and recurring tasks

Assign work to your team with a due date, and set it to repeat if it's something that happens every day, week, or month. Nothing falls through the cracks because someone forgot.

What it is

Tasks are internal to-dos you assign to people on your team. Not customer-facing, not tied to a specific job — just work that needs doing and someone accountable for it.

Any task can be set to repeat. That turns a one-off into a standing routine that regenerates on its own schedule, so recurring work doesn't depend on anyone remembering it.

What to use tasks for

Type

Examples

One-off

Call the supplier about the backordered part. Follow up with the Riverside customer Thursday. Send the signed contract to accounting.

Daily

Check the missed-call queue. Confirm tomorrow's appointments. Review overnight voicemails.

Weekly

Chase unpaid invoices. Restock the vans. Review the lead pipeline with the team.

Monthly

Reconcile payments. Run the commission report. Check service-plan renewals.

Part 1 — Create a task

1. Open Tasks

Click Tasks in the sidebar to see everything currently assigned across your team.

Tasks

2. Click New Task

This opens the task form.

3. Give it a title

Write the title as an action, not a topic. "Call Riverside about the deposit" tells someone exactly what to do. "Riverside" doesn't.

Title

4. Add the details

Use Description for the context the assignee needs — the account number, what was already discussed, what a good outcome looks like. Saves them from having to come find you and ask.

5. Open the date field

Click the date field to open the calendar.

6. Set the due date

Pick the day it needs to be done by. The task shows as overdue after this date, so it stays visible instead of quietly aging out.

Part 2 — Make it recurring

7. Find the Repeat section

If this is something that happens on a schedule, use Repeat. Leave it off for a one-off.

8. Open the Repeat dropdown

Click it to see the schedule options.

9. Pick how often it repeats

Choose Daily, Weekly, Monthly, or whichever cadence fits.

How recurring tasks behave

A recurring task generates a fresh instance each cycle. Completing this week's doesn't affect next week's — that one appears on schedule regardless. So you get a clean record of which cycles were actually done and which were missed.

Part 3 — Assign and save

10. Click Select office agents

Choose who's responsible.

11. Pick the assignee

Tap the person who should own this task. It appears in their task list right away.

12. Add more people if needed

You can assign several people to the same task — useful when it's a shared responsibility or you want backup coverage.

Tip — one owner beats three

Assigning a task to three people often means nobody does it, because each assumes someone else will. Pick one owner. Add others only when the work genuinely needs more than one pair of hands.

13. Create the task

Click Create Recurring Task (or Create Task if you didn't set a repeat). Assignees are notified immediately.

Part 4 — Track your tasks

14. See everything in the Tasks list

The list shows what's open, what's overdue, and who owns each item.

15. Switch to Calendar view

Click Calendar for a different angle on the same tasks.

16. See your month laid out

Calendar view spreads tasks across the month, showing pending and completed together. This is where you spot the pile-up — if Thursday has eleven tasks and Friday has none, move some before Thursday arrives.

Things to know

Situation

What happens

You complete one instance of a recurring task

Only that instance closes. The next one still generates on schedule.

You edit a recurring task

Changes apply to future instances. Ones already generated keep their original details.

A task passes its due date

It shows as overdue and stays in the list. Nothing disappears silently.

You assign several people

All of them see it. Any one of them can complete it.

An assignee is deactivated

Their open tasks stay in the system — reassign them so they don't go unowned.
